Understanding Issue Reporting

Issue reports provide visibility into how inventory leaves your system, why it left, and where it went. Unlike receiving reports that track incoming inventory, issue reports focus on consumption, shipments, and stock reductions.

Audit Trail Reports answer “What inventory was issued, when, and by whom?” with complete transaction histories including user activity, timestamps, reason codes, and serial number tracking for compliance and accountability.

Hot Movers Reports answer “Which items are being consumed most frequently?” by analyzing usage velocity, issue frequency, and consumption patterns to optimize purchasing, identify demand trends, and improve stock availability.

Allocation Reports answer “What stock is committed to orders?” showing reserved inventory for shipping orders, work orders, and customer commitments to prevent over-selling and manage availability.

Negative Adjustment Reports answer “Why did inventory decrease?” by categorizing write-offs, damaged goods, samples, shrinkage, and other stock reductions with reason code analysis for loss prevention and inventory accuracy.

Hot Movers and Velocity Reports

These reports identify fast-moving inventory, usage patterns, and demand trends to optimize purchasing and stock availability.

Hot Movers Report

Purpose: Ranks items by issue frequency and volume to identify your fastest-moving stock and highest-demand products.

Use For:

  • Identifying top-selling or most-consumed items
  • Optimizing warehouse layouts (place fast movers near shipping)
  • Setting cycle count priorities (count hot movers more frequently)
  • Negotiating volume pricing with suppliers for high-volume items
  • Planning safety stock levels for critical fast-moving parts
  • Marketing analysis for promotional planning

Key Columns:

  • Item ID and Description
  • Total Quantity Issued
  • Number of Transactions
  • Average Issue Quantity per Transaction
  • Last Issue Date
  • Category and Supplier
  • Current On-Hand Quantity
  • Days Since Last Issue
  • Velocity Ranking

Ranking Methods:

  • By Quantity: Total units issued (absolute volume)
  • By Transaction Count: Issue frequency (how often issued)
  • By Value: Total extended cost of issues (revenue impact)
  • By Velocity: Turnover rate (issues per day/week)

Filters: Date Range (required), Warehouse, Category, Supplier, Top N (e.g., Top 25, Top 100)

Tips:

  • Use 90-day rolling windows to capture current trends without seasonal distortion
  • Combine transaction count with total quantity to find consistent high-volume items vs. one-time bulk issues
  • Cross-reference with on-hand quantities to ensure adequate stock of hot movers
  • Use days-since-last-issue to identify items transitioning from hot to slow movers
  • Filter by category to find hot movers within product lines

Operational Applications:

  • Warehouse Layout: Move hot movers to easily accessible pick locations near packing stations
