QuickBooks Desktop Integration

Inventory Pro can push the warehouse side of the business into QuickBooks Desktop, which means accounting is working from the same completed orders and receipts the warehouse already processed.

Items, customers, and vendors stay in step without repeat entry. When a receipt or shipment is finished, the export carries that detail into QuickBooks so reconciliation takes less cleanup.

The export covers the records most teams need for daily accounting work. Item masters can carry part numbers, descriptions, costs, prices, and GL mappings. Customer and vendor records keep addresses and contact details. Purchase orders and invoices move over with their line detail.

That setup is useful when warehouse staff live in Inventory Pro and the accounting team lives in QuickBooks Desktop. Each side works in the system it already uses, but the records stay connected.

When an order ships in InventoryPro, the integration can create the matching invoice in QuickBooks with customer details, ship-to data, pricing, and line items already filled in.

The same applies to received purchase orders. QuickBooks can see what the warehouse actually received, not just what was expected on the original PO. Open and canceled transactions are not exported as completed activity.

The sync runs on a timer you choose. Each cycle picks up new records flagged since the last run, and any export problem is logged so staff can review it without stopping the full batch.

That means one bad record does not block the rest of the work. Teams can fix the exception and keep daily exports moving.
